DATA PROTECTION & PRIVACY

Introduction

Private Equity Recruitment Ltd and its associated companies (listed below) (“PER”) is a leading recruiter for private equity, venture capital and alternative asset investors. We are an Employment Agency under the Employment Agencies Act 1973 and as supplemented by later legislation including The Conduct of Employment Agencies and Employment Business Regulations 2003. We have associated group companies in the UK, Germany, Switzerland, Hong Kong, Singapore, Mexico and the USA.

Protecting your personal data is important to us. This privacy policy explains how PER processes and protects personal data in accordance with the UK General Data Protection Regulation (“UK GDPR”), the EU General Data Protection Regulation (“EU GDPR”), and other applicable data protection laws.

This policy applies to:
  • Candidates and prospective candidates who register with us for job opportunities or whom we identify from public data sources such as LinkedIn, social media and other internet sources
  • Our clients and suppliers
  • Other users of our website
We will only share personal data with third parties where permitted by law and, where required, with your consent.

You may modify or deactivate your data record or request removal of your data from our database at any time by updating your Data Preferences or contacting us at DPO@per-people.com.

You may access and browse our website without disclosing your personal data.
Your personal data

Candidates and prospective candidates

When you register with us as a candidate, we collect the personal data that you provide when using our services, for example when you apply for roles online or communicate with us directly.

We may also collect information from public sources such as LinkedIn, social media or internet searches. We use this data to identify you where we believe we may have relevant employment opportunities.

The data we may hold includes: contact details, academic achievements, work history, skills, languages, nationality, working rights, age and gender, compensation details (where provided), and notes made following meetings or discussions. We also maintain a record of contact history and progress on roles.

We retain documents you provide, such as your most recent CV, deal track record or written materials. Previous CV versions are deleted.

Where permitted by law, we may also collect information relating to health (for example disability information for workplace adjustment purposes) or diversity information such as race, ethnic origin, sexual orientation or religion for equal opportunity monitoring. Provision of such data is voluntary and subject to appropriate safeguards.

For prospective candidates identified from public sources or referrals, we collect personal data in order to contact you regarding potential opportunities and to track engagement with those opportunities.

Clients and suppliers

We process personal data of clients and suppliers to provide recruitment services, maintain business relationships, invite you to events, seek feedback, conduct surveys (including salary surveys), and share relevant industry information.
Use and processing of your personal data

PER is the Data Controller for your personal data.

We process personal data on the following lawful bases, depending on context:
  • Legitimate interests, where processing is necessary for our recruitment business and not overridden by your rights
  • Consent, where required by law or where you have explicitly agreed
  • Legal obligation, where processing is required to comply with applicable law
Your data is stored on a secure, proprietary and confidential database which is only accessible by employees of the PER Group of companies and its third party data processors and data partners.

Use of Artificial Intelligence and Automated Processing

PER may use artificial intelligence (“AI”) tools to support our recruitment services and internal operations. This may include assisting with candidate matching, analysing CVs and publicly available professional information, summarising communications, and improving the efficiency and accuracy of our systems.

We do not make decisions about individuals based solely on automated processing. All recruitment decisions involve human review and oversight.

Where AI tools are provided by third-party technology providers, they act as data processors under appropriate contractual safeguards. We apply data minimisation principles and appropriate technical and organisational security measures when using such tools.

Personal data is not used by such providers for their own purposes, and we take contractual and technical measures to ensure that personal data processed through such systems is not used to train third-party AI models.

Your rights

You have the right to access your data record, to challenge the data that we hold about you and have the data erased, rectified or amended. Upon written request, we will provide you with a readable copy of your data record, although we may require proof of your identity and we require 10 working days to provide the data.

You have the right to modify or deactivate your data record or have your data deleted at any time by updating your Data Preferences or contacting us at any time by email to DPO@PER-people.com

You also have the right to lodge a complaint with the UK Information Commissioner’s Office or your local EU supervisory authority.

MyPER accounts

Creating a MyPER account

If you create a MyPER account, we will process your personal data for the purpose of providing recruitment services and managing your account.

Processing may be based on consent and/or legitimate interests, depending on the activity.

Deactivating your MyPER account / data record

When you deactivate your MyPER account, we will hold a data record for you but will not process it, nor will we contact you with information on current or future employment opportunities or with marketing materials. By deactivating your MyPER account / data record, you will also become inactive on any roles currently in progress. We cannot guarantee that we will not contact you again in the future through public data sources such as LinkedIn, social media or internet searches.

You can reactivate your account / data record at any time by logging in to MyPER and providing your consent for us to process your data.

Deleting your MyPER account / data record

You can request us to delete all the data we hold on you at any time.

Once your data has been deleted, we no longer hold a record of you. We cannot guarantee that we will not contact you again in the future through public data sources such as LinkedIn, social media or internet searches.

Please allow ten working days for your data to be deleted. A record of your deletion request will be kept by our data administrators.

You can create a new MyPER account at any time by visiting our website.

Data security and integrity

We implement appropriate technical and organisational measures to safeguard personal data against unauthorised access, loss, misuse or disclosure.

We ensure that your personal data will not be disclosed to State institutions and authorities except if required by law or other regulation.

PER would never send unsolicited emails asking you to disclose your username and password or other security details.

Consent to share information within the PER group, with our clients and other third parties

Sharing information within the PER Group

The PER Group is a group of companies under common ownership which operate globally. We may share or give access to your personal data to other companies within the PER Group both in the EEA and outside of the EEA. The UK recognises that, having left the EU, countries in the EEA provide adequate protection for personal data. Where we need to transfer personal data to or from a PER Group company outside the EEA we will comply with all local law transfer requirements.

Sharing information with our clients

If you are a candidate or prospective candidate, we only share your personal information with clients with your consent. Your consent is recorded on our database.

As well as seeking your consent, we will ask you to agree to keep any details we give you about our clients and roles confidential and not disclose the details to anyone else.

When we provide our clients with your personal data, we request that they properly protect the security, confidentiality and processing of your personal data in accordance with all applicable laws.

Sharing information with third parties

We may share your personal information with third parties for various purposes relating to your job application process, such as conducting online tests for example critical reasoning or psychometric profiling, or for data processing for direct mailing purposes. We may share your information in aggregate and anonymous form for research, industry or marketing reports, statistical purposes or to learn how to improve our communication with our market.

We may share some of your personal information with LinkedIn through our customer relationship with LinkedIn Talent Integrations, for example your job title, work email address and job application data for the purposes of matching you with roles that may be relevant to you, or to provide recruitment services to you.

We will never sell or market your personal information for commercial purposes to any third party.
How long do we keep your personal data

We keep your personal data for as long as is necessary to provide recruitment opportunities to you throughout your career or to comply with legal obligations. Even if you only use our services when looking for a role every few years, we will continue to retain your information unless you ask us not to do so.
